This Privacy Policy describes how AI Software Labs LLC ("AI Software Labs," "we," "our," or "us") collects, uses, discloses, and protects information in connection with our software products and services, including LeadLedger, ArrivedHQ, Social Citations, Auto Blogger Pro, RankRadius, and 1HourBacklinks (collectively, the "Services"). This policy also covers our use of third-party voice and SMS communications infrastructure.

2. Information We Collect

2a. Information You Provide Directly

• Account registration: Name, email address, password, company name, and billing information when you create an account for any of our Services.
• Business profile data: Business name, address, phone number, website URL, and business category submitted through our citation, SEO, or dispatch tools.
• Communications: Messages, inquiries, and support tickets you send to us, including the content of contact form submissions sent to scott@aisoftwarelabs.ai.
• Payment information: Billing details processed through our payment processors. We do not store full credit card numbers on our systems.

2b. Data Processed Through Our Services (Customer Business Data)

When our customers (businesses) use our field service products (LeadLedger, ArrivedHQ), the following data about their end-customers and employees is processed on their behalf:

• Customer contact data: Names, phone numbers, addresses, and service request details of the end-customers of our business clients.
• GPS location data: Real-time and historical location of field technicians during active job assignments, transmitted from the ArrivedHQ mobile app.
• Job documentation: Photos, digital signatures, job notes, invoice data, and status updates associated with field service jobs.
• Voice call recordings and logs: Call metadata (caller ID, timestamp, duration, disposition) from inbound service calls routed through our Plivo-powered IVR. Call recordings may be retained per the configuration of the business operator.
• SMS message content: Content of transactional SMS messages sent between dispatchers, technicians, and service customers, including dispatch confirmations, GPS tracking links, job status updates, and two-factor authentication codes.

2c. Automatically Collected Data

• Log data: IP addresses, browser type, operating system, pages visited, timestamps, and referring URLs when you interact with our web-based Services.
• Device identifiers: Device type, OS version, and app version when you use our mobile applications.
• Cookies and local storage: Session tokens, preferences, and authentication state stored in browser cookies or device local storage. We do not use third-party advertising cookies.
• Push notification tokens: Expo push tokens registered by the ArrivedHQ mobile app to deliver job assignment and status notifications.

4. SMS and Voice Communications

AI Software Labs operates SMS and voice communications infrastructure through Plivo, Inc. and Meta WhatsApp Business API. Our use of SMS, WhatsApp, and voice is strictly transactional and business-operational in nature:

4a. Types of Messages Sent

• Dispatch confirmations: SMS messages sent to field technicians when a job is assigned to them, containing job details and a tracking link.
• Customer notifications: SMS messages sent to service customers confirming appointment details and providing a link to track the technician's live GPS location.
• Dispatcher alerts: Internal SMS alerts to dispatchers when jobs remain unassigned beyond vertical-specific time thresholds (e.g., 3 minutes for car lockouts, 15 minutes for water damage calls).
• Two-way job messaging: SMS-based communication between dispatchers and technicians for real-time job coordination.
• Authentication codes: OTP and account verification messages where applicable.
• Tech dispatch via WhatsApp: Job assignment notifications sent to field technicians via WhatsApp Business API when a job is assigned through LeadLedger.

4b. What We Do NOT Send

• Unsolicited marketing or promotional SMS
• Mass text campaigns to cold lists
• Political or fundraising messages
• Any messages to recipients who have not engaged with or requested our clients' services

4c. Consent Framework

All SMS and voice communications are sent in a transactional or service-fulfillment context. For customer-facing messages, consent is implicit through the customer's act of requesting field service (by calling in a service request or providing their number to the service company). Opt-out instructions are included in all customer-facing SMS messages per TCPA guidelines. Recipients may reply STOP to cease messages at any time.

4d. Phone Number Usage

AI Software Labs uses Plivo-provisioned phone numbers exclusively for the transactional dispatch, notification, and customer communication use cases described above. Phone numbers are not used for cold outreach, telemarketing, robocalling for marketing purposes, or any activity that would constitute spam under applicable law including the Telephone Consumer Protection Act (TCPA), CAN-SPAM Act, or CTIA guidelines.

5. Third-Party Services and Data Sharing

5a. Plivo, Inc. (Voice and SMS)

We use Plivo's Communications Platform as a Service (CPaaS) to provision phone numbers, route inbound voice calls, and transmit SMS messages. Call and message metadata (phone numbers, timestamps, message content for routing purposes) passes through Plivo's infrastructure. 5b. Resend (Transactional Email)

We use Resend to deliver transactional emails including invoice notifications, account confirmations, and password resets. Email addresses are transmitted to Resend for delivery purposes only.

5c. Expo (Push Notifications)

The ArrivedHQ mobile app uses Expo's push notification service to deliver job alerts to field technicians. Push notification tokens are stored on Expo's infrastructure in accordance with their privacy policy at https://expo.dev/privacy.

5d. Google Maps Platform

Our field service dispatch and tracking features use the Google Maps Platform API to render technician location maps for customers and dispatchers. Location data transmitted to Google Maps is subject to Google's privacy policy.

5e. OpenAI / AI Model Providers

Some of our content automation services (Auto Blogger Pro) use large language model APIs to generate content. Content generation requests may include user-provided topic keywords and instructions. We do not transmit personally identifiable information of end-users to AI model providers.

5f. No Sale of Personal Data

We do not sell, rent, trade, or otherwise transfer personal data to any third parties for commercial purposes. Data shared with service providers listed above is solely for the purpose of delivering our Services.

5g. Meta Platforms, Inc. (WhatsApp Business API)

We use Meta's WhatsApp Business API to deliver job dispatch notifications to field technicians. Message routing metadata (phone numbers, timestamps, message content) passes through Meta's infrastructure. Meta's privacy policy is available at https://www.facebook.com/privacy/policy/.

6. Data Retention

• Active account data: Retained for the duration of the account subscription and for 2 years after account termination.
• Job records (LeadLedger / ArrivedHQ): Job history, photos, signatures, invoices, and GPS tracks retained for 7 years for legal and compliance purposes, unless the account operator requests earlier deletion.
• SMS and call logs: Message metadata retained for 90 days by default. Call recordings (if enabled by the operator) retained for 30 days unless otherwise configured.
• Ephemeral GPS data: Live technician location data is overwritten on every ping (upsert pattern). Historical location data retained for 7 days then automatically purged.
• Log data: Server access logs retained for 30 days for security and debugging purposes.

7. Data Security

We implement industry-standard technical and organizational safeguards:

• All data in transit is encrypted via HTTPS/TLS 1.2 or higher
• All API endpoints require JWT authentication
• Authentication tokens are stored in encrypted device storage (iOS Keychain / Android Keystore) in our mobile apps
• Passwords are hashed using bcrypt before storage — never stored in plaintext
• Database servers are not directly exposed to the public internet
• WebSocket connections use WSS (WebSocket Secure) protocol
• Access to production systems is limited to authorized personnel only

No security measure is 100% foolproof. In the event of a data breach affecting your personal information, we will notify affected parties as required by applicable law.

8. International Data Transfers

AI Software Labs is based in the United States. If you access our Services from outside the United States, your data may be transferred to and processed in the United States. By using our Services, you consent to this transfer. We take steps to ensure that any international transfers comply with applicable data protection law.

9. Your Rights

10. Children's Privacy

Our Services are intended for use by businesses and adult professionals. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected information from a minor, please contact us immediately at scott@aisoftwarelabs.ai.

11. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt-out of the sale of personal information. 12. Cookies and Tracking Technologies

Our web applications use the following types of cookies and local storage:

• Authentication cookies / localStorage: Store your login session token. Required for the application to function. Expire when you log out or the session expires.
• Preference storage: Store user interface preferences (e.g., dark mode setting).

We do not use Google Analytics, Facebook Pixel, or any third-party tracking pixels on our application dashboards. Our public marketing pages may use basic analytics to understand traffic sources.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. We will update the "Last updated" date at the top of this page when changes are made. For material changes, we may notify account holders via email.
